What software do car dealerships use?

A car dealership is really several businesses under one roof: new and used car sales, financing and insurance, a service department, and a parts counter. Each one has its own software, and the way those tools connect has a big impact on profit, customer experience, and security.

This guide explains the main types of dealership software, the leading products in each category, what a typical tech stack looks like for franchise and independent dealers, and what to look for when choosing or replacing a system.

The Car Dealership Software Stack at a Glance

1. Dealer Management System (DMS)

The DMS is the heart of a dealership. It records every vehicle sale, runs the accounting, tracks parts, manages service repair orders, and often handles payroll and reporting. Almost every other dealership tool connects to it.

A lesson in DMS risk: In June 2024, a ransomware attack on CDK Global took its systems offline for about two weeks, forcing thousands of US dealerships back to paper deals and manual workarounds. It showed how much a dealership depends on one system, and why backups, offline processes, and vendor security checks matter.

2. Customer Relationship Management (CRM)

A dealership CRM manages every lead from websites, third-party listing sites, phone calls, and walk-ins. It assigns leads to salespeople, schedules follow-ups, tracks every conversation, and reports which lead sources turn into sales.

Popular dealership CRMs include VinSolutions (Cox Automotive), DealerSocket CRM, Elead (CDK), and DriveCentric. Independent dealers often use AutoRaptor or the CRM built into DealerCenter.

Some dealer groups use general platforms instead. Salesforce offers an Automotive Cloud for automakers and dealer groups that want deeper customization, analytics, and connections to other business systems. Learn more about our Salesforce services.

What good CRM use looks like: every lead answered within minutes, automatic reminders for service-to-sales opportunities, and clear reports showing cost per sale by lead source.

3. Inventory Management and Pricing

Used cars lose value every day they sit on the lot, so inventory software focuses on speed and price.

• Appraisal tools help managers value trade-ins using auction and market data.
• Pricing tools like vAuto compare each car against similar vehicles in the local market and suggest price changes.
• Merchandising tools push photos, descriptions, and prices to the dealer website and listing sites like Autotrader, Cars.com, and CarGurus.
• Reconditioning tracking shows how long each car takes to get from trade-in to front line.

The key number most used-car managers watch is days in inventory. The faster a car sells, the less it loses in value and the lower the holding cost.

4. Desking and Finance and Insurance (F&I)

Once a customer picks a car, the deal moves to desking and then to the F&I office.

• Desking tools calculate payments, taxes, fees, trade values, and rebates so the sales manager can present offers.
• Credit and lender platforms such as RouteOne and Dealertrack send credit applications to many lenders at once and return approvals.
• F&I menu software presents extended warranties, GAP coverage, and protection products in a clear, consistent way.
• eContracting lets the dealer sign and send loan contracts digitally.

F&I tools also help with compliance, such as identity checks and protecting customer financial data. US dealers that arrange financing are covered by the FTC Safeguards Rule, which requires an information security program to protect that data.

5. Digital Retailing and Dealer Websites

Many buyers now start, and sometimes finish, the car-buying process online. Digital retailing tools let shoppers:

• Value their trade-in.
• Choose a payment and see real monthly prices.
• Apply for credit.
• Reserve a car or schedule a test drive or home delivery.

These tools plug into the dealer website, which is usually built by an automotive website provider such as Dealer.com, Dealer Inspire, or DealerOn. A fast, mobile-friendly site with accurate inventory and prices is one of a dealer’s most important sales tools.

6. Service and Fixed Operations Software

The service department often brings in a large share of a dealership’s gross profit and keeps customers coming back between car purchases. Service software covers:

• Online scheduling so customers can book appointments any time (for example, Xtime).
• Repair order and technician workflow, usually in the DMS service module.
• Customer texting and video so advisors can send repair updates, inspection videos, and approval requests.
• Mobile payments so customers can pay by text before pickup (for example, myKaarma).
• Parts management to track stock, special orders, and supplier orders.

A mobile app for service booking and vehicle reminders is one of the most common custom projects for dealer groups.

7. Reputation, Messaging, and Marketing

Online reviews strongly influence where people buy and service their cars. Reputation tools such as Podium and Birdeye send review requests after each sale or service visit, gather reviews in one place, and support two-way texting with customers. Marketing tools handle email campaigns, digital ads, and service reminders.

Franchise vs Independent Dealer Tech Stacks

Franchise dealers also use software required by their automaker for warranty claims, parts ordering, incentives, and reporting.

How to Choose Dealership Software

1. List your must-have workflows. Start with sales, F&I, service, and accounting, then add the extras.
2. Check integrations first. Ask exactly how the DMS shares data with your CRM, inventory, website, and F&I tools, and what each integration costs.
3. Review contract terms. DMS contracts often run several years. Check length, renewal terms, data export rights, and exit fees.
4. Ask about data ownership. Make sure you can export your customer and deal data in a usable format if you switch.
5. Check security. Ask vendors about encryption, multi-factor login, backups, incident response, and how they help you meet the FTC Safeguards Rule.
6. Plan for downtime. Have offline procedures for sales and service in case a key system goes down.
7. Involve your team. Let salespeople, F&I managers, service advisors, and accounting staff test the system before you sign.

Common Challenges With Dealership Software

• Too many disconnected tools. Staff re-enter the same customer in the DMS, CRM, and F&I systems.
• Integration costs. Some DMS providers charge third-party vendors to connect, and those costs can be passed on to dealers.
• Long contracts. Switching a DMS is expensive and disruptive, so a wrong choice can last years.
• Data migration. Moving years of customer, service, and accounting history needs careful planning.
• Training and adoption. Even the best system fails if staff go back to spreadsheets and sticky notes.
• Cybersecurity. Dealerships hold Social Security numbers, credit data, and payment details, which makes them a target.

When Custom Dealership Software Makes Sense

Off-the-shelf systems cover the core of most dealerships. Custom software makes sense when you need:

• A branded customer app for service booking, vehicle reminders, and loyalty rewards.
• A dealer group dashboard that combines sales, service, and inventory data from several rooftops and systems.
• Integrations between your DMS, CRM, website, and accounting that your vendors do not offer.
• Workflows unique to your business, such as rental, fleet, subscription, or buy-here-pay-here collections.

Most of these projects rely on solid API development to connect existing systems safely.

Choose tools that integrate well, protect customer data, and fit how your team actually works, and fill the gaps with custom apps and integrations where off-the-shelf tools fall short.

Frequently Asked Questions

What is the most common software used in car dealerships?

The dealer management system (DMS) is the most important and widely used. CDK Global, Reynolds and Reynolds, Tekion, and Dealertrack DMS are common choices for franchise dealers in the US.

What is the difference between a DMS and a CRM?

A DMS runs dealership operations: deals, accounting, parts, and service. A CRM manages customers and leads: follow-ups, sales pipelines, and marketing. Most dealerships use both and connect them.

What software do independent car dealers use?

Independent and used-car dealers often use all-in-one systems like DealerCenter or Frazer, which combine a DMS, CRM, inventory, and website. Many also use RouteOne or Dealertrack for financing.

How much does dealership software cost?

It varies widely. Independent dealer systems are usually monthly subscriptions, while franchise DMS contracts are multi-year and priced by modules, users, and rooftops. Add CRM, inventory, website, and F&I tools, and total software spend can be significant. Always ask for a full quote, including integration fees.

Is cloud-based dealership software secure?

It can be, if the vendor uses encryption, multi-factor login, regular backups, and strong monitoring. The 2024 CDK ransomware attack showed that dealers should also ask vendors about incident response and keep offline backup procedures.

Can small dealerships benefit from dealership software?

Yes. Even a small used-car lot benefits from tracking inventory, leads, deals, and finance applications in one system instead of spreadsheets.

What is F&I software?

F&I (finance and insurance) software helps dealers submit credit applications to lenders, present protection products like extended warranties, prepare contracts, and stay compliant with financing rules.
